Data Protection Notice

This Data Protection Notice (“Notice”) sets out the basis which Philip Liew & Co, PLC Tax Services Pte. Ltd. and Liew Secretarial Services (“we”, “us”, or “our”) may collect, use, disclose or otherwise process personal data of our clients in accordance with the Personal Data Protection Act 2012 in Singapore (“PDPA”). This Notice applies to personal data in our possession or under our control, including personal data in the possession of organisations which we have engaged to collect, use, disclose or process personal data for our purposes.

PERSONAL DATA

  1. As used in this Notice:
    “client” means an individual who
    (a) has contacted us through any means to find out more about any services we provide, or
    (b) may, or has, entered into a contract with us for the supply of any services by us;
    “job applicant” means an individual who has submitted a job application to us through our website, job advertisements, or email;
    “personal data” means data, whether true or not, about a client who can be identified:
    (a) from that data; or
    (b) from that data and other information which we have or are likely to have access.
  2. Depending on the nature of your interaction with us, some examples of personal data which we may collect from you include name, NRIC, passport, residential address, email address, telephone number, nationality, gender, date of birth, marital status, photograph, employment information and financial information.
  3. Other terms used in this Notice shall have the meanings given to them in the PDPA (where the context so permits).

COLLECTION, USE AND DISCLOSURE OF PERSONAL DATA

  1. We collect your personal data when:
    (a) it is provided to us voluntarily by you directly or via an authorised representative after:
    (i) being notified of the purposes for which the data is collected, and
    (ii) providing written consent to the collection and usage of your personal data; or
    (b) when collection and use without consent is permitted or required by law.
  1. We may collect and use your personal data for any or all of the following purposes:

For Clients:

  1. collection of particulars needed for audit, assurance, tax services, business advisory or corporate secretarial services;
  2. processing payroll information for Clients;
  3. communication with Clients, including updates to service terms;
  4. processing requests, complaints or queries;
  5. informing Clients on our services;
  6. administering the Client relationship;
  7. conducting performance reviews and determining requirements;
  8. investigating complaints or allegations relating to staff;
  9. establishing emergency contact points;
  10. complying with applicable laws;
  11. compiling directories;
  12. creating and maintaining Client profiles for internal reference;
  13. updating Clients on company events;
  14. taking photographs or videos for internal dissemination or publicity materials;
  15. ensuring information security; and
  16. other reasonable business purposes.

For job applicants:

  1. determining employment eligibility, including verification of references and qualifications;
  2. identity / security verification;
  3. other reasonable HR purposes.
  1. We may disclose your personal data:
    (a) when required to perform services requested by you; or
    (b) to third-party service providers who support our business operations.
  2. The above purposes may continue even after the termination of your relationship with us.
  3. Where consent is not obtained, we may act under PDPA exceptions such as emergencies affecting life or safety.
  4. You may choose not to provide personal data, but it may affect our ability to serve you.

WITHDRAWING YOUR CONSENT

  1. You may withdraw consent anytime by emailing our Data Protection Officer (DPO) at DPO@philipliew.com.sg.
  2. We may require reasonable time to process your request and will notify you of any implications.
  3. Withdrawal of consent may affect our ability to continue providing services.
  4. Withdrawal does not affect our rights to collect, use or disclose data permitted under law.

ACCESS TO AND CORRECTION OF PERSONAL DATA

  1. You may request access to or correction of your personal data by emailing our DPO.
  2. A reasonable fee may apply for access requests.
  3. We aim to respond within thirty business days.

PROTECTION OF PERSONAL DATA

  1. We safeguard personal data using administrative, physical and technical measures.
  2. No method of electronic storage is completely secure, but we continually enhance our safeguards.

ACCURACY OF PERSONAL DATA

  1. Please notify us of any changes to ensure your personal data remains accurate and complete.

RETENTION OF PERSONAL DATA

  1. We retain your personal data as long as necessary for business or legal purposes.
  2. We cease retention when data is no longer needed.

TRANSFERS OF PERSONAL DATA OUTSIDE SINGAPORE

  1. We generally do not transfer data overseas. If required, we will seek consent and ensure adequate protection.

DATA BREACH NOTIFICATION

  1. We have measures in place to prevent and manage data breaches.
  2. For breaches affecting 500 or more individuals or likely to cause significant harm, we will:
    • Notify the PDPC;
    • Inform affected individuals.
  3. We will provide details of the breach and actions taken.

EFFECT OF NOTICE AND CHANGES TO NOTICE

  1. This Notice applies alongside contractual and consent clauses.
  2. We may amend this Notice without prior notice. Please refer to the last update date.
